The event email prompt

Write a plain-text reminder to someone already registered for [THE EVENT], happening [WHEN EXACTLY]. Words only — no HTML, no layout notes.

They have already decided. This email exists so they turn up.

Rules:
- 50 to 90 words. Shorter than the invitation by a clear margin.
- Put [HOW TO GET IN] in the first three lines — the join link, the door, the room number. This is the reason the email exists and it should be findable in a search two minutes before the start.
- Repeat [WHEN EXACTLY] with the timezone, even though it was in the invitation. People check the reminder, not the invite.
- State [WHAT TO BRING OR DO] in one line. If nothing is needed, say so explicitly.
- Do not re-pitch. No agenda, no speaker bio, no benefits, no "here is what you will learn". They registered.
- Do not ask them to invite anyone else. That is a different email and it dilutes this one.
- Never invent a number, statistic, attendee count or detail beyond what I have supplied.
- No exclamation marks. No emoji. Sentence case.

Write a subject line under 40 characters naming the event and the time. Return subject, preheader, body, sign-off.

What to fill in first

[THE EVENT]
The name, exactly as it was in the invitation, so it is recognisable at a glance.
[WHEN EXACTLY]
Day, start time, timezone. Repeat it even though it was in the invite.
[HOW TO GET IN]
The join link, the door, the room. The single most important line in the email.
[WHAT TO BRING OR DO]
Anything they need beforehand. If nothing, say nothing is needed.

When to send it

The day before, and for anything virtual, again 15 to 60 minutes before the start. The second one feels excessive and is the one that recovers the most attendance, because the failure mode is someone who fully intended to come and lost the link.

What to change first

[HOW TO GET IN]. Everything else is context. The reminder’s real job is to be the email an attendee finds when they search their inbox two minutes before the start, which means the link or the room number belongs at the top, not under a paragraph of anticipation.

What good output looks like

Subject: Tomorrow, 3pm UK

Preheader: Join link is at the top of this email.

Here is the join link for tomorrow. No download needed, it opens in a browser.

Thursday 14 March, 3pm UK time. Runs an hour.

Nothing to prepare. If you want a question answered, put it in the chat when you arrive and we will get to it.

The prompt writes the words. Bring them here and the studio builds the campaign — branded, dark-mode safe, and ready to import.

In the studio

A model writes copy. It does not write email.

Production HTML that survives Outlook, dark mode and a Gmail clip is a different job from writing the words. Describe the send once and export it to Mailchimp, Klaviyo, ActiveCampaign or MailerLite.
